Separate Requests

Each professional or firm requires a separate conflict-check request submitted in a separate email. An approved bulk-pricing arrangement may cover five or more requests, but each remains separate and must identify the applicable bulk-pricing arrangement.

Choosing the Professional or Firm

The client identifies each professional or firm. Collisia does not identify, choose, recommend, rank, match, refer, substitute, or prioritize professionals or firms.

Information and Identification

Collisia may contact the identified professional or firm to request a conflict check and determine what information that professional or firm requires. Collisia may transmit only information authorized by the client for the conflict check. Collisia may submit conflict-check information without separately stating the prospective client’s identity or may ask the professional or firm to defer explicit identification until the conflict check is completed and a response is returned.

The professional or firm may accept that approach, request additional information, or require explicit identification of the prospective client before completing the conflict check.

Collisia will not separately provide the prospective client’s identity without authorization to do so. Information otherwise authorized for transmission may itself identify the prospective client or permit the prospective client’s identity to be inferred. Collisia does not guarantee anonymity, continued non-identification, or that any professional or firm will agree to complete a conflict check without explicit identification.

Information Required for the Conflict Check

Collisia seeks to limit the information requested and transmitted to information relevant to the conflict check. Collisia does not determine what information is sufficient for a professional’s or firm’s conflict process.

The professional or firm may identify the information it requires, request additional information, or decline to complete the conflict check based on the information provided. Any additional information is transmitted only if authorized by the client.

Conflict Analysis

The professional or firm performs its own conflict analysis. Collisia does not determine whether a conflict exists, whether a conflict may be waived, whether consent is sufficient, whether the professional may proceed, or whether the professional should accept the matter.

Response

A substantive response is a written communication from the professional or firm concerning the conflict-check inquiry, including a request for information, a review-status update, or an indication of whether the professional or firm can proceed. Automated acknowledgments, delivery notices, and unrelated messages do not qualify.

If the professional or firm responds, Collisia records the response and reproduces the text of each substantive response body without changing its text in the client-facing completion email. Collisia does not forward original emails, threads, attachments, message headers, or routing metadata or convert a response into an independent determination. If a response includes material that cannot be communicated accurately through the response body alone, Collisia addresses that limitation before representing the response as complete.

Business Days

A full business day is a complete Monday-through-Friday calendar day, excluding U.S. federal holidays, measured in Eastern Time. The day that starts a follow-up period does not count.

Client Information and Authorization

Where additional information is requested, Collisia may continue the same conflict-check request only with the client’s authorization. Collisia does not treat the professional or firm as unresponsive while necessary client information or authorization remains outstanding. If no further authorized exchange will occur, Collisia returns the substantive response or responses already received.

If requested client information or authorization remains outstanding, Collisia sends one reminder after two full business days without a response. If the client does not respond within two additional full business days after the reminder, Collisia completes the request by returning any substantive responses already received. The professional or firm is not reported as unresponsive solely because client instructions were not provided.

Follow-Ups After a Response

When the professional or firm has responded but an additional response is expected and no client action is outstanding, Collisia makes a first follow-up after two full business days without a substantive response and a second and final follow-up after two additional full business days.

The first follow-up period begins after the most recent substantive response indicating that another reply is expected. If Collisia later sends a client-authorized message awaiting a reply, the period begins after that message instead.

If no further substantive response is received within two additional full business days after the final follow-up, Collisia returns the substantive response or responses already received and reports Response Received — No Further Response.

If the professional or firm specifies a later response date, the first two-full-business-day period begins after that date has passed. Automatic acknowledgments and delivery notices do not restart the schedule.

No Response

If the professional or firm provides no substantive response to the initial conflict-check request, Collisia makes up to two follow-up attempts. The first follow-up is made after two full business days have passed without a substantive response to the initial request. If no substantive response is received, the second and final follow-up is made after two additional full business days have passed.

If no substantive response is received within two additional full business days after the final follow-up, Collisia closes the request and reports No Response Received to the client. Automatic acknowledgments and delivery notices alone do not constitute substantive responses. For purposes of this process, the initial conflict-check request and the two follow-ups constitute three contact attempts in total.

When reporting No Response Received, Collisia identifies the dates of the initial request, first follow-up, final follow-up, and request closure in the client-facing completion email. Collisia does not forward copies of its outgoing email messages or routing metadata as part of the standard completion process.

No Response Received is an administrative status assigned by Collisia solely to record that the defined contact process ended without a substantive response. It is not a determination that a conflict exists or does not exist, that the professional or firm is unavailable, or that the professional or firm has declined the matter.

No Engagement Acceptance

A response indicating no identified conflict does not establish representation, professional engagement, availability, suitability, acceptance of the matter, or another professional-client relationship.

No Subsequent Coordination

After sending the applicable client-facing completion communication, Collisia does not arrange consultations, coordinate substantive communications, negotiate fees or engagement terms, transmit engagement agreements, collect professional fees, or coordinate retention or representation.

Fees

Requests involving one through four professionals or firms are priced at $50 per professional or firm.

A client planning five or more separate conflict-check requests may request a written bulk-pricing quote. A bulk-pricing quote applies only to the requests and scope identified in that quote. Each professional or firm covered by bulk pricing remains a separate request and must be submitted in a separate email.

Fees do not depend on the conflict response, engagement acceptance, retention, professional fees, or outcome.

Collisia charges only fixed, non-contingent client fees. Collisia does not accept success-based compensation, referral fees, commissions, indirect consideration, or compensation from professionals or firms for conflict-check requests, responses, client contact, resulting professional engagements, professional fees, or outcomes.

Completion

Each request is complete when Collisia sends the client-facing completion email returning the substantive response or responses received, including when it reports Response Received — No Further Response after the defined further-response follow-ups, or reporting No Response Received when no substantive response was received after the defined initial-contact process. Collisia has no continuing role after completion.
